We currently have a great assignment for a Construction Coordinator to support our client, a well-established commercial building contractor specializing in corporate interiors, located in the Northern Virginia area. 

Job Responsibilities

The Construction Coordinator is responsible for performing a variety of tasks in support of the project team for construction service functions in the areas of estimating, marketing, subcontractor relations and successful project completions.  This position is also responsible for providing a wide variety of administrative, estimating, project management support and related tasks to include performing duties directed by the Team Leader.

Additional responsibilities of the Construction Coordinator include the following: 

  • Receive and log in all bid opportunities
  • Develop Project Qualification Questionnaire for distribution to leadership team for review and comment
  • Assign bid job numbers through Timberline and set up bid files
  • Perform initial bid job setup on ISqFt through selection of applicable trades
  • Coordinate, order and arrange for the distribution of bid drawings through the reprographics company
  • Upload TIF drawings and PDF specs, as applicable, to ISqFt
  • Assist with follow-up phone calls to solicited bidders to verify status
  • Responsible for File Management of Awarded and Lost bid files within estimating drive
  • Assist in preparing all proposal-related documents in preparation for bid day
  • Obtain all insurance and bond documents as required by the bid documents prior to bid day
  • Coordinate flysheets, as required for bid packages, with the Director of Marketing
  • Assist in the prequalification of subcontractors and track subcontractor prequalification metrics
  • Provide management support and maintenance of the subcontractor/vendor database
  • Maintain FedEx and UPS shipping databases
  • Perform maintenance of electronic drawings file with Reprographics Company, ISqFt and estimating files
  • Maintain proposal file (electronic PDF and paper copies) management and bid map
  • Copy, scan and create PDF discs of specification books and other PDF type documents for distribution to subcontractors
  • Finalize proposals, editing for spelling, grammar, numerical errors and making final distribution
  • Track reprographics costs associated with each bid
  • Perform follow-up phone calls to subcontractors on bid day as directed by lead estimator for clarifications
  • Process bid RFI questions and subsequent answers; distribute answers, clarifications, addenda, etc. to all subcontractor bidders
  • Assist Bid Captain in developing and distributing Instructions to bidders for subcontractor bidders
  • Track subcontractor responsiveness in ISqFt
  • Assist DPS in distributing subcontractor grading reports
  • Support changes and training of construction forms, procedures and software as directed; update flysheets as projects are completed
  • Upon award of project, set up draft of contract when required
  • Assist lead estimator and project team as applicable to develop subcontractor scopes of work
  • Distribute scopes to subcontractors and obtain subcontractor sign-off
  • Assist project teams as necessary in drafting subcontracts
  • Promote subcontractor relations with correspondence and programs
  • Assist in the purchasing and monitoring of construction department supplies and equipment
  • Perform duties as a relief receptionist and represent the company in a positive and professional manner

Job Requirements

Specific qualifications for the Construction Coordinator role include the following:

  • Bachelor’s degree in a construction-related field preferred
  • Minimum of 3-5 years prior work experience in commercial construction required; highly prefer candidates with General Contracting and corporate interiors background
  • Knowledge of construction terminology and the standard 16 division CSI codes required
  • Experience working on 3-4 projects simultaneously
  • Proficiency in Microsoft Office Suite applications (Word, Excel, Project and Outlook), Sage Timberline and Procore
  • Knowledge of construction drawings, specifications, means & methods and procedures
  • The ability to work collectively and independently on assigned tasks as well as to accept direction on given assignments, handle multi-tasking, attention to detail, work under pressure and meet critical deadlines
